Executive Assistant
Provide administrative support to members of the leadership team such that it facilitates goal attainment. The leadership team is responsible for the running of the JAMGL daily operations, as well as programmatic goal attainment, financial goal attainment, board management and community involvement across the 52-county footprint. The Executive Assistant will support the leaders in all these initiatives.

Junior Achievement of the Michigan Great Lakes, and its District Operations have established a one of a kind Free Enterprise Center which serves a large portion of JAMGL’s 52-County footprint. Primary Responsibilities:
Communication: Composes and drafts letters and reports utilizing word processing (PC). Handles phones and e-mail communications in a highly professional manner. Prepares supporting information for meetings and presentations.
Office Administration: Manages filing system that is easy to use, current and accurate. Establishes follow up procedure (tickler or reminder file).
Calendar: Maintains leader’s calendar, to include: appointments, deadlines, meetings, etc. Communicates calendar to appropriate staff, to include time away from the office for: vacation, illness, as well as business travel.
Meetings: Prepares materials for team meetings, committee meetings and special project meetings. Handles attendance calls and prepares information packets (agenda). Attends meetings, takes notes/assists with minutes. Distributes follow up data to attendees and absentees.
Program Support: Help support program team with data input, form management, and additional administrative support. May be the staff member interfacing with Experiential Learning volunteers when arriving to the facility for training.
Data Base Management, Analysis & Development: JA uses D365 which is an enterprise wide, web delivered CRM database which contains all donor and program information. Help input and manage program data in D365 to support the leaders and their teams. Collaborate directly with leaders to translate business requirements into useful analytic reports, dashboards, and KPIs. Drive high quality, low error results while preparing analytical reports related to programs.
Special Projects and Events: Handles special assignments. Represents the office in highly professional manner. Coordinates with other administrative and professional staff on special events involving executives (appearances, speeches, etc.). Communicates directly with board members, executives in the community and JA, and with executive assistants.
VisitU Management: VisitU is JA’s campus safety check-in software. EA will help support guest registrations into the building and become a superuser to assist all staff with VisitU usage.
Qualifications (required)
EXPERIENCE REQUIRED
3 years administrative experience, excellent computer literacy (Microsoft Office), outstanding character and integrity, outstanding communication skills, attention to detail, and function effectively under pressure.
EDUCATION/EXPERIENCE DESIRED
Associate or bachelor’s Degree, work with data bases or CRM databases, experience in non-profit settings.
